The latest version of the CollectionOD is now available with new functionality and enhancements

The v14.0 upgrade includes:

Mobile app:

Consider this scenario: you are interacting with the collection, perhaps on various floors or storage areas and you would like to make a quick update to the item's storage location - you simply login via your phone and do the update. This is immediately available to anyone else using the full CollectionOD or mobile app.

Features of the new mobile app:

• Responsive Login page which detects if you are accessing the CollectionOD via a laptop or smart phone. It will automatically adapt to the screen size.
  
• Once you have logged in you can click the new mobile app icon on the side menu. The CollectionOD will adjust to your phone and you can immediately use one of 3 search options:
  
  1. Global - general search across the whole database according to the term, or terms, you enter. Maximum results.
     
  2. Description - general search across the Description and Management modules. More specific results.
     
  3. IDs - searches the IDs. Quick specific results.
     
• The search results are presented in a table format with an image (clickable to enlarge), basic documentation and management storage details. An added feature is you can instantly see all other items in a specific place, i.e. you see an item stored in Cabinet 4E - you can instantly lookup all other items in the same cabinet. This applies to Store Rooms and Specific Storage.
  
• You can click on an item to view further documentation and producer(s). You can also edit the following details:
  
  • Storage Address
    
  • Storage Location
    
  • Storage Building
    
  • Storage Floor
    
  • Storage Room
    
  • Storage Specific
    
  • Item moved by
    
  • Date moved
    
  • Movement notes
    
  If you are evaluating the collection or have an independent evaluator, you can edit:
  
  • First evaluation date
    
  • First evaluation amount (SA Rands)
    
  • Latest evaluation date
    
  • Latest evaluation amount (SA Rands)
    
  • Evaluation notes
    
  You can also include a foreign evaluation:
  
  • Evaluation currency - i.e. Rands, Euro, etc.
    
  • Evaluation currency amount
    
  • Evaluation currency rate
    
  • Evaluation currency date
    
  • Evaluation currency by - who did the foerign evaluation
    
  • Evaluation currency notes
    
• Stocktaking - now made a lot easier directly via your phone. You can record:
  
  • Who did the stocktake
    
  • Date
    
  • Any notes relating to the stocktake
    

  Note: you can also view a history of previous stocktakes.
  

• Real-time updates: this is important - because the mobile app integrates directly with the main database so anyone else using the CollectionOD will view the updates real-time.
  
• Switching between main app and mobile one: you can switch between the mobile app and main CollectionOD interface without logging out. You simply click a button to switch between them.
  

Mini-Thesaurus: to improve the documentation of your collection and the public interaction with a CollectionOD driven website, a mini-Thesaurus has been developed. Basically, this powerful feature consists of terms you can use and terms you should not. These are recorded and managed in a central module that can be associated with keywords that help describe and categorise an item. We can assist in extracting keywords from your existing documentation.

ID search: a useful feature to quickly look up an Auto / Unique ID or Description ID.

Technical improvements:

• Server memory: the entire app received an overhaul to improve how it relates to the web server's memory. This improves stability and performance, both on the Admin modules and public website interface.

This on-line database application is increasing in popularity due to more stable, and more available, Internet connections. This has driven the demand to upgrade the CollectionOD to match, or improve, the popular off-line products such as HumanitiesCMD and ResourceMD.
