How to spell check your database
Firstly, open the section of the database you would like to spell check and click the
Spelling button. This will open the Spelling dialog box. It is important to note the spelling will be checked across the data you have open; i.e. it does not check the entire database (similar to Word which checks the document you are in and not all the documents on your pc).
Note: the
Spelling functionality is exactly the same as other Microsoft Office products. Using Spelling in your database is exactly the same as using it in Word, Outlook, etc. The same functionality applies such as:
- Ignore: to ignore the spelling of a word and go to the next one.
- Change: change the incorrect spelling to the one suggested.
- Add: to add the word to the dictionary as an accepted spelling or a word .
When spell checking a database it will start at the first record and work through to the last record. It will also go through each field and check each word.
You can spell check in
Form view or
Datasheet view. If you are checking a large database with lots of potential spelling errors, it is easier to switch to
Datasheet view. This enabled you to maximise the table to fit the screen and re-size columns and rows.
Tip: if you are checking lots of records and
need to take a break, make a note of the
Record number. You can jump to the record number when next carrying on with the spell check. To jump to a record number, simply enter the number in the space provided and click Enter on your keyboard.
